PLEASE READ THESE TENANT GUIDELINES CAREFULLY
The advanced rent deposit (fifty percent of the total due), is required for all reservations booked which have more than thirty (30) days before arriving. This will go toward your rent with the balance being due two weeks prior
to your arrival. NOTE: Full payment of all charges is required for
reservations, which have less than 30 days before arriving
We accept Visa and Master Card. No personal checks will be accepted.
If your reservation must be cancelled for any reason, all money paid will be forfeited unless the home is re-rented for the entire cancelled period and for the full rental amount. If re-rented, monies will be refunded less the cancellation fee of $75 and travel
insurance premium. A credit card number will be requested at the time of booking. When making the reservation 50% of the total balance will be required. Failure to cancel in writing may result in the initial advance payment or final payment being charged to
the credit card. If you should have to transfer your reservation to another date after payment has been made, please notify our office in writing at least 60 days prior to arrival. Transfers may only be made within the same property and at the advertised rate
of the original season or the new seasonal rate, whichever is the higher rate; otherwise, the cancellation policy would prevail. Once a transfer has been made, a new Vacation Rental Agreement and Confirmation will be forwarded to you for your signature. Please
note: Smoky Mountain Retreat reserves the right to transfer a reservation at any time prior to taking occupancy. Should this occur, reservation will be transferred to a comparable unit or if a comparable unit is not available refund all monies received from
tenant will be refunded. Smoky Mountain Retreat highly recommends the inclusion of Trip Insurance on every reservation.
All guests are requested to check in on or after 3 P.M. If you expect to arrive after 5:00pm, please inform the office. There will be a package with keys and directions left in the check in/check out box located outside our rental office door.
(Door on right located at third building back on Gaddis Branch Road). After hour check ins must be paid in full, in advance.
Check out time is 10:00 A.M. promptly. No Exceptions. Please return all keys to office or drop box upon departure. ** Guests not out by check out time
will be charged one days rent, plus NC taxes.
Pets are only allowed in specific rental homes and must be approved at the time of booking. Those that do meet approval require a
$107.00 non-refundable pet fee. Those who do not have approval will be asked to leave the property with no monies refunded. ** Line 17 of your Vacation Rental Agreement will specify if pets are allowed in the home you are staying at.
All of our homes are smoke free, therefore, no smoking is allowed inside the house. You may smoke outside; however, butts must be disposed of properly. Remember that you are in a log home community. Do not throw cigarette butts off porches as you may cause
REFUNDS ON BREAKDOWNS:
No appliances are guaranteed. There will be no refunds on appliances, power, water or TV failures. Any problems will be taken care of as soon as possible during our normal working hours. Emergency situations will be dealt with as soon as possible.
Most homes have long distance blocks. You will have to call collect or use a calling card for any long distance calls.
Most of our rental homes offer DSL or wireless connections. Please refer to our website for availability or contact our rental office.
ABOUT YOUR UNIT:
All rentals are decorated to suit the owner’s taste. They all have dishwashers, central heat & air, washer & dryer, fireplaces (wood or gas logs), microwaves, satellite or cable and garages. They are fully equipped, including sheets and towels. Each home is
furnished with a “Starter Package”, which contains one of each:
paper towels, toilet paper, trash liners, bar soap, laundry detergent, dish liquid and dishwasher powder. For a short stay, these items may be enough, however, for a longer stay you will need to furnish your own supplies.
Special requirements such as bed size, etc should be requested when you are making your reservation. Changing units upon arrival will cause forfeiture of advanced rent, plus another deposit made on new rental. Please, no rearranging of furniture.
All of our houses have fireplaces (wood or gas logs). If you request firewood, please make these arrangements before arriving. There is an additional charge for firewood.
Upon checking out, do not close damper on fireplace and please do not throw hot ashes from fireplace outside.
Bicycles, scooters, roller blades, fireworks, motorcycles and skateboards are not allowed on the property due to the safety risk for children. There are areas in the county which are available to use and more suitable for these activities.
The owner or agent reserves the right to cancel this agreement at any time prior to tenant taking occupancy of the property. In the event this should occur, agent will refund all monies received to tenant.
North Carolina law requires the collection of a 11% sales/use tax and lodging tax on the gross rental amount on rentals less than (90) ninety days.
The owner, agent, or other respective representatives reserves the right to enter the premises during reasonable hours to inspect the premises, to make repairs, alterations or improvement thereto as agent or owner may deem appropriate, or to
show the premises to prospective purchasers Monday- Saturday between the hours of 1PM-3PM. An attempt to call tenant prior to the arrival of sales agent and prospective purchasers will be made 24 hours prior to the day of showing.
ROAD CONDITIONS CAN CHANGE DRASTICALLY IN THE WINTER. EVEN IF THERE IS NO SNOW, ROADS CAN STILL BECOME ICY AND DANGEROUS (THIS ALSO INCLUDES STEPS AND DRIVEWAYS). PLEASE DRIVE SAFELY WHILE YOU ARE STAYING IN THE MOUNTAINS.
WE DO THE BEST WE CAN TO SALT AND PLOW THE ROADS AND USUALLY BY 12 NOON THE ROADS ARE MELTED ENOUGH TO DRIVE ON. HOWEVER, PLEASE GO TO THE GROCERY STORE AS SOON AS YOU CHECK IN TO GET ENOUGH FOOD DURING YOUR STAY SHOULD YOU GET SNOWED IN. WE CAN NOT BE RESPONSIBLE
FOR GETTING YOU OUT OR TO THE STORE IN THE EVENT OF BAD WEATHER.
